FuneralHQ

QuickBooks sync workflow

How a case becomes clean books without entering anything twice. FuneralHQ syncs with QuickBooks Online, so the case file and the ledger stay in agreement. QuickBooks Desktop is not supported.

What moves, and which way

  • Invoices, from the statement of goods and services on the case
  • Payments, posted against the matching invoice
  • Customers, one per family, created without separate entry
  • Nothing typed twice, in either direction

QuickBooks Online only. QuickBooks Desktop is not supported, and if you run it today we will walk through what moving would involve.

The five steps, start to synced

Follow one case from the arrangement to a reconciled set of books.

  1. 01

    Arrange the case

Build the statement of goods and services on the case once, the way you already do during the arrangement.

  2. 02

    Create the invoice

The statement becomes an invoice on the case, with the family recorded as the customer.

  3. 03

    Sync to QuickBooks

The invoice and the customer record sync to QuickBooks Online. No re-keying, and no separate customer to create.

  4. 04

    Post the payment

A card or ACH payment posts against the matching invoice, and the balance updates on the case at the same time.

  5. 05

    Stay in agreement

Because the case and the books share the same synced records, month-end is a check rather than a rebuild.

What moves between the two systems

Invoices

The statement of goods and services from the case becomes an invoice in QuickBooks.

Payments

Card and ACH payments post against the matching invoice, so balances agree across systems.

Customers

Each family records as a customer in QuickBooks without separate data entry.
