How to Digitize Paper Preneed Records Without Losing the Contract Trail

Move paper preneed files into searchable records with a batch register, document checks, funding references and a tested handoff to at-need.

For owners and preneed teams moving a paper contract book into funeral home software.

The difficult file is often the one with two contracts, a handwritten amendment and a funding letter filed under another surname. A scanner can capture those pages. Your migration process must explain which agreement is current and how the documents relate. This guide covers that practical handoff. The broader preneed recordkeeping guide explains the fields to maintain after migration.

Start with one small, representative batch

Choose a batch small enough for a second person to review completely. Include a straightforward contract, an amended contract, a funding discrepancy and a record with missing pages. Give every paper folder a migration reference before scanning. Retain the original contract number in its own field; a new system reference should not erase it.

Create a batch register before entering data. Record the folder count, expected agreements, attachments and unresolved issues. Keep files with uncertain status visible as exceptions. Do not turn a missing funding statement into an assumed paid balance.

Separate the scan from the indexed record

Source itemCapture or indexReview question
Signed agreementComplete readable file plus original contract referenceAre signatures, reverse pages and attached schedules present?
Beneficiary and purchaserSeparate names and relationshipsIs the purchaser different from the person the contract serves?
Funding evidenceProvider, policy or account reference and statement dateDoes the amount come from a dated source?
Selections and guaranteesStructured selections with the source agreement linkedWhich terms are guaranteed in this particular agreement?
Amendment or cancellationRelated document with date and review noteWhich agreement remains effective?
Location and paper storageResponsible location and original folder referenceCan another staff member retrieve the paper source?

For a fictional record PN-0142, the agreement identifies the beneficiary as Morgan Ellis while the policy letter names a purchaser. Keep both people and their roles. If the agreement and policy statement show different amounts, record the dated evidence and assign a review task. Do not resolve the difference by copying whichever figure is larger.

Verify retrieval before moving the next box

  1. Open each imported record using its old contract reference.
  2. Read every page at normal viewing size, including signatures and attachments.
  3. Compare indexed names, dates, selections and funding references with the source.
  4. Have a colleague find the amendment without your help.
  5. Record the reviewer, date, issue and correction in the batch register.
  6. Retest corrected records before marking the batch accepted.

Keep paper handling and retention decisions under your firm’s approved policy and applicable requirements. A successful scan does not by itself authorize destruction of an original. This workflow checks completeness and retrieval; it does not determine a contract’s legal effect or replace funding reconciliation.

Test the future at-need handoff

Use a fictional record to test what happens when the family calls. Can staff find the signed selections, see the funding source and distinguish a planned service from a payment received? Follow the preneed to at-need conversion workflow and record any field or document that needs separate handling.

Why put paper preneed records into FuneralHQ?

FuneralHQ connects preneed records with the case work that follows: documents, staff tasks, family communication, payments and accounting. That is useful when the objective is to carry reviewed information into daily operations rather than maintain a separate digital filing cabinet. Your own document templates and mapped fields can form part of that setup.

Bring a sample batch to the migration review. Agree the field mapping, document handling, exception list and staff review before the full import. Paper files need scanning and indexing; do not assume a folder of PDFs will automatically become fully verified contract data.

Questions before digitizing a preneed book

Can we start with current contracts and add older files later?

Yes, that can be a practical rollout approach if staff know exactly which records are searchable in the new system and where the rest remain. Keep the batch register and coverage date visible so an empty search is not mistaken for proof that no contract exists.

What should a migration demonstration prove?

Ask a staff member to find an old contract number, open the complete signed agreement, locate an amendment and explain the funding reference. Then test a fictional at-need handoff. A count of uploaded files alone does not prove those tasks work.
