Funeral Home Software Checklist: 35 Questions to Ask Before Buying

Use this checklist to keep every vendor on the same terms. Group your scoring by what actually runs your firm, not by who has the longest feature list.

For owners and admins running a structured software evaluation.

A good evaluation is boring on purpose. You ask every vendor the same questions, in the same order, and you score the answers against how your firm actually works. This checklist gives you those questions. Print it, bring it to each demo, and make every vendor earn the same yes.

Case workflow

  1. Can one case run from first call to closed without leaving the system?
  2. Does the first call flow into the case, or is it re-entered at arrangement?
  3. Where do tasks live, and what happens when the assigned person is off?
  4. Is there a full, dated activity history on each case?
  5. Can different staff see the same current status of a case?

Documents and signatures

  1. Are packets built from the case, with details pre-filled?
  2. Can a family member sign remotely from a phone?
  3. Is there a per-signature fee, ever?
  4. Do signed documents return to the case automatically?
  5. Does the audit trail capture who signed, when, and which version?

Payments and accounting

  1. Do payments attach to the case or only a separate dashboard?
  2. Are card and ACH both supported, and what are the fees?
  3. Can I take a deposit now and the balance later?
  4. Do invoices and payments sync to QuickBooks as line items?
  5. Does it work with QuickBooks Online, Desktop, or both?
  6. Can I keep my existing chart of accounts?

Preneed and multi-location

  1. Can I track preneed contracts and funding?
  2. Does a preneed record convert to at-need without re-entry?
  3. Can I report across multiple locations on one dashboard?
  4. Can I limit staff to their own location’s cases?

Security, pricing, and exit

  1. Is access controlled by role?
  2. Is data encrypted, and how often is it backed up?
  3. Is pricing per company, per user, or per case?
  4. What is the all-in monthly cost, and what is billed separately?
  5. Is onboarding and migration included?
  6. How long until I run a live case?
  7. Can I export all my data, including documents, on demand?
  8. What happens to my data if I cancel?
